Call for Abstracts - Guidelines

General Guidelines

  1. Submitted abstracts undergo a blind review by peer reviewers based on scientific merit and originality.

  2. While abstracts may be submitted as podium, moderated poster, unmoderated poster or video presentation types, the Scientific Committee reserves the right to assign final presentation type in the best interest of the program.

  3. Multiple abstracts by the same authors based on the same study population or data will be disqualified without further consideration.

  4. The work covered by the abstract must not have been published as a manuscript before January 13, 2012.

  5. Abstracts must be written and presented in English.

Abstract Format

  • Size: The size of the abstract is limited to 2000 characters including spaces (or approx. 400 words). This includes title, body of abstract and graphics. Tables must be saved as an image file.

  • References count extra in extra field.

  • Title: The title should clearly define the topic and contain no abbreviations. There is a character limit of 200 characters, to be typed in upper cases.

  • Authors: Take care to list ALL authors in the relevant section of the submission site. Spell out completely the names of all authors using full first and last names. Maintain consistency in author names on multiple abstracts to avoid duplication in the Author Index.

  • Presenting Author: If the author(s) of the abstract is an employee(s) of, or has a financial relationship with, the commercial interest which controls the content of the presentation, then he/she cannot be the presenting author. However, investigators responsible for research and development are permitted to present as long as they resolve their Conflict of Interest (COI) and as long as they are not employees of the commercial interest. In all printed publications the presenting author will be underlined. Please note: Because of production deadlines, as of April 15, 2012, any changes to the presenting author will not be reflected in the Abstract Book.

  • The body must contain 4 separate paragraphs:
    a) Introduction and Objectives;
    b) Methods;
    c) Results; and
    d) Conclusions.

    The abstract should be informative and detailed.

  • It is NOT acceptable to state that "The results will be discussed." Inclusion of specific data is necessary for reviewers.

  • Indicate the major new findings of the study.

  • Standard abbreviations may be used as follows: on first use, spell out the full term and follow with abbreviation in parentheses.

  • Use generic names of drugs.

  • Source of Funding: Grant support must be indicated on the "Source of Funding" page. If there is no support, "none" must be listed. This is a required field in the submission process. Abstracts deemed to be submitted solely for marketing purposes will not be accepted.

  • Conflict of Interest and Disclosure Statement: ALL authors must disclose conflicts of interest. The electronic submission process will not allow abstracts to be submitted without this information being completed for each author.

  • Topic List: Authors must select an abstract topic (only one) from the provided list.

  • Keywords: Authors must select up to 3 keyword entries from the provided Keyword Index that best describe the subject of the abstract.

  • Videos: Always submit an abstract online as well as the corresponding digital file. Spoken commentary is optional, but must be in English.

    • Maximum duration of video: 7 minutes.

    • File size maximum: 500 MB

    • All files must be in the final format and include the abstract title, presenting author and production date in the title sequence.

    • Name your file according to the following convention:
      001_lastname_firstname.avi

      Where "001" is your abstract number, followed by your Last Name and First Name, and ending with the file type extension (i.e. .avi, .mpg, .mov, etc.).
      If you have multiple files for the same abstract, add a hyphen following your abstract number followed by one digit increments (i.e. 001-1_lastname_firstname.avi, 001-2_lastname_firstname.avi, etc.)

    • Deadline for video upload is the same as the abstract submission: January 13, 2012.
